How to Allocate a Room in eZee FrontDesk
In this guide, we will learn how to allocate a room to a booking in eZee FrontDesk. This includes walk-in bookings, hotel website bookings, and channel bookings. Allocating rooms can sometimes be overwhelming or may lead to errors. However, eZee FrontDesk minimizes this issue by suggesting the best available room allocation based on occupancy levels and dates.
Step 1: Stay View
To check for bookings that do not have rooms assigned, go to the Stay View. The Stay View displays a bar parallel to each room type, showing the count of bookings where rooms have not been assigned. If a count appears, it indicates that room allocation is needed. The concerned team can then start allocating rooms.
Step 2: Open the Booking
To allocate rooms, open the booking. You can search and modify the booking using the Universal Search option. If the booking reference number is available, follow these steps:
- Go to the Universal Search option.
- Select the 'Booking Number' field and enter the booking number.
- Once found, select the transaction and click on 'Open Group' to view all the bookings for the selected group.
Step 3: Booking List
If the booking reference number is unavailable, you can find the booking in the Booking List. Here's how:
- Click on the Navigation button.
- Select 'Front Office' and click on 'Booking List.'
- Choose the arrival date and click 'Search'.
- All bookings for the selected date will appear. Select the booking and click 'Edit.'
Step 4: Group Rooming
Once you have selected the booking, follow these steps:
- Select all the bookings.
- Click 'Operations' and then 'Group Rooming.'
A new window will open where you can allocate rooms. You can either allocate rooms automatically or manually.
Step 5: Manual Room Allocation
To allocate rooms manually, follow these steps:
- Select the transaction.
- Choose the room and enter the name of the guest.
- Click 'Assign' to assign the room.
Step 6: Save the Allocation
After all rooms are assigned, click 'Save' to finalize the room allocation. The booking status will change to 'Reservation' once rooms are allocated.
Alternative Room Allocation Method
Another way to allocate a room is as follows:
- Select the transaction and click 'Edit.'
- Click 'Assign Room,' select the room, and click 'Reserve' to allocate the room.
Step 7: Room Allocation Report
The front office or reservation team can check whether rooms are allocated by going to the Reports section. In the Report View, check the 'Group Rooming Status' report under the Front Office section.
